The Samples and Retain subsection provides the following functionality for handling product samples taken from the field:

Adding and Modifying Samples

Viewing Samples

Generating and Printing Sample Tags

Generating and Printing Sample Labels

Adding, Modifying, and Transferring Samples

Adding and Modifying Samples

Samples data stores the information (e.g. the product type, grade, type of sample etc.) of the product samples obtained on a job.

Once entered, tests and slates can be assigned to each sample so that test result information can be entered.

To add a sample to a Job Order or modify a Job Order's existing list of samples, select Add/Modify Samples from the Laboratory tab and click Add Sample, or locate the sample to modify, perform the modifications and click Save:

Modifying Multiple Samples at One Time

To modify values for multiple existing samples at the same time, select the samples using the check boxes to the left of each sample and click Bulk Change to display the Bulk Change Samples pop up:

Enter the values and click Change to close the pop up and apply the values to the selected samples. Click Save to save the bulk changes.

Transferring Samples from Another Job Order

To transfer a sample from another Job Order:

  1. Click Transfer Sample from Another Job.

  2. Enter the Job Order number into the From field and click Search.

  3. Select the sample(s) from the list and click Transfer Selected:

  1. Click Save when the system returns to the Laboratory sample screen.

Viewing Samples

Select View Samples on the Laboratory tab to display the sample information entered for the Job Order.

This screen provides the following fields and functionality:

1. Sample Information: displays the following fields for each sample:

  • Sample No: the unique ID of the sample assigned by the system. Each sample number is composed of the Job Order number it is associated with along with a unique index number.

  • Sample Type: the specific type of sample to be obtained. o Sampling Phase: the phase of the job when the sample is to be obtained.

  • Description: a description of the sample. Enter the tank number into this field, and/or any hand blend information.

  • Port/Terminal: the location where the sample is to be obtained from. o Sample Object: the Method of Transport where the sample is taken from. o Container: the container which holds the sample. o Sample Date: the date when the sample was taken. o Received By: the name of the person who received the sample.

  • Received / Transferred On: the date/time when the sample was received. Note: this field is automatically set to the date/time when the sample entry was added.

  • Retain Location: the shelf where the sample is to be stored.

  • Retain Status: specifies what was done with the sample after analysis was completed. Lab Managers can change this status for multiple samples using the Retain Management screen. o Scheduled Disposal Date: the date when the sample is to be disposed of. o Actual Disposal Date: the date the sample is actually disposed of. o Manifest: the disposed sample manifest, if known.

  • Drum: the disposed sample drum, if known. o EPA Batch #: the EPA Batch number, if known. o EPA Volume: the EPA Volume and unit of measure, if known.

  1. Modify: allows the fields for each existing sample to be modified.

  2. Assign Tests and Slates: allows tests to be assigned to the sample and the sample to be assigned to slates.
