The Job Order search and listing screen allows jobs to be quickly located.
Selecting Advanced Search on the top right of the search and listing screen will make the search fields visible for Job Order filtering:
The search fields allow for jobs to be filtered by job fields. Note that the Office field defaults to the office of the user currently logged in.
These tabs filter jobs to show only those in the respective state.
Job Order States:
Draft: the Job Order is in the process of being created but has not yet been made active by a Coordinator. Draft job orders do not have a Job Order number.
Dispatch: the Job Order has been created and is in the process of being dispatched. This screen is used mainly by Dispatchers for finding and dispatching Job Orders to Inspectors. Note that a dispatched Job Order is also an Active Job Order.
Active: the Job Order is in the process of being executed. This can include a Job Order which has been dispatched.
Billing: the Job Order has been completed from an operations standpoint, but has yet to be billed out to the client(s). This can include a Job Order which has been rescinded (cancelled and moved into billing so that the work completed so far can be billed).
Invoiced: the Job order has been invoiced and sent to the client(s) for payment.
Completed: the job has been completed and billed to the client(s).
Data can be sorted by clicking on the individual column headers. Sorting by multiple columns can be done using the Sort By drop down on the right hand side which is available for the Dispatch and Active tabs. Note however that some columns display multiple values for a given row and therefore column title sorting is not available for such columns. The following is a summary of the Sort By options available for these tabs:
Object Type, ETA: sorts based on the type of object being inspected and the ETA. This will sort the list by the Object Type that needs inspecting and the time that needs inspecting, in alphabetical order.
Port/Terminal, ETA: sorts based on the port/terminal and the ETA. This will sort the list by location in alphabetical order and time
Coordinator, ETA: sorts based on who is coordinating the job (in alphabetical order), and the ETA.
Next Action Item (available only for the Dispatch tab): sorts based on next status update, ETA, Job Start, and Dispatch Complete status. This sort option is meant to be used by Dispatchers to find the next actionable Job Order.
Some columns include icons which provide a quick way to identify additional information as follows. Note that some icons can be clicked on.
Job Order:
: international job.
: the Job Order is linked to other Jobs Orders (i.e. has a relationship with other jobs). The linked jobs can be accessed by clicking on this icon.
: the Job Order has notes which can be viewed and editing by clicking this icon.
: the Job Order has a rush on it.
Inspectors:
: the inspector has been tentatively assigned to the job.
: the inspector has been confirmed for the job which means they will arrive at the terminal, on time, to perform the work.
The following additional codes may also be present, color coded based on the assignment/dispatch states:
O: Open - collects the opening numbers on the job.
C: Close - collects the closing numbers on the job.
OL: Open Lead - in charge of opening the job.
CL: Closed Lead - in charge of closing the job.
D: A driver who is responsible for transporting samples to the lab.
S: A sampler who obtains the samples.
C: Confirmed for the job.
5. Columns display up to four lines of information by default. Additional lines of information can be made visible by hovering the mouse over the icon.
The Job Order search screen provides a quick way to find, sort, and view job orders, and includes the following details. Note that some fields are only available on certain tabs:
Job Order: the unique ID assigned by the Inspection Management System to the job order. Note that ID's aren't assigned to Draft Job Orders.
Job Type: specifies the activity that will be performed as part of the job (e.g. Load or Discharge).
Dispatch Status: the current status of the job dispatch.
Object Type: the type of entity on which the job will be performed (e.g. barge, vessel, etc.).
Object Name: the name of the entity (method of transport) to perform the job on. The entity's unique vessel number is included in brackets.
Port/Terminal: the location where the job takes place.
Cargos: the product(s) contained in/on the object.
Inspection Complete: the Field Inspection phase is complete.
Analysis Complete: the Lab Analysis phase is complete.
Dispatch Complete: the Dispatch phase is complete meaning the inspectors have been dispatched to the job.
ETA/ETC: the estimated date/time for when the vessel will arrive, and the estimated date/time for when the vessel will set sail.
Job Start/Dispatch Complete: the actual start and end dates/times for the job, as set by the dispatcher.
Job Finish Date/Dispatch Complete: displays Job Finish Date when the job is finished (i.e. operations are complete including all final reports being sent to all clients) or Dispatch Complete when the job has been dispatched.
Inspectors: the people who have been assigned to inspect the entity.
Coordinator: the person who is coordinating the job.
Clients: the stakeholder client(s) who have an interest in the job.
Scheduler: the person(s) assigned to schedule the job.
Next Update: indicates when the next update will be sent out. The value will be displayed in the following colors: o Black: more than one hour remains until the next update.
o Yellow: 30 minutes to one hour remains until the next update. o Red: less than 30 minutes remain until the next update.
